General

How do I access Omnidocs Create?You can access Omnidocs Create by navigating to app.omnidocs.cloud, or through one of your connected systems that integrate with Omnidocs Create.
How is Omnidocs Create structured?Omnidocs Create is organized like this:
Organization: Contains all your company’s Units
Unit: Contains integrations, content source and data source
Content sources: Define templates, data sources, and bindings inside a Unit
This structure makes it easier to manage permissions and maintain consistency across large organizations.
What is a recipe?A recipe defines how a document is generated by combining a template, form and data logic. You use recipes every time you generate a document in Create.

What is a unit?A Unit is a logical space within your organization where related recipes, data sources and integrations are grouped.
Each Unit typically represents a department or division, such as HR, Finance, or Legal.
What’s the difference between a document recipe and a text element recipe?A document recipe is used to generate new documents from a template.
A text element recipe is used to insert smaller, reusable pieces of content. Sometimes these are also referred to as Phrases.
What’s the difference between Omnidocs Create and EditFlow?Omnidocs Create is used to generating new documents based on your recipes.
EditFlow is used to edit existing documents securely through your EDMS or CMS.
Can I change which recipe is used after starting to fill out a form?Yes - just press the back arrow in the top-left corner of the form view to return to the recipe selection screen.

Creating documents

How do I generate a document in Omnidocs Create?To generate a document, select the desired recipe and fill out the required fields in the form.
When ready, click Create at the bottom of the form to generate your document.
Omnidocs Create will automatically insert your entered data into the template and return the completed document — either for download or directly back to your integrated system.
Why can’t I see all available recipes?The recipes you see depend on your unit and specific recipe settings.
If a recipe doesn’t appear, it may be:
- Restricted to another unit
- Removed by an administrator
- Hidden due to your system’s configuration
If you believe you should have access, contact your organization's Omnidocs Create Administrators.
What does it mean when a form field is pre-filled?A form field can be pre-filled when the data is automatically provided by your integrated system or capture.
For example, information such as sender name, recipient details, or case number might be inserted automatically to save time and ensure consistency.
Some data is automatically provided directly to placeholders in your recipe, and don't need interaction.
Why do I get an error when generating a document?Common reasons include:
- The recipe has been updated or deleted
- The integration system didn't provide the expected data
- Temporary connection or permission issues
Try reloading the page and verifying your input.
If the issue persists, contact your administrator and include the error message shown on screen.
How do I know if my document has been sent back to my system?Once your document is generated, Omnidocs Create automatically returns it to the system that started the process.
You’ll usually see the document will appear in your system after a few moments, when you are returned.
If you still don't see it after a few moments and after refreshing the page, contact your administrator.

Editing documents (EditFlow)

How do I open a document for editing?Your integrated system automatically redirects you to the EditFlow App when you choose to edit document.
Depending on the configuration, it may open in a new browser tab or popup window.
Can I edit documents in Word Online or must I use the desktop app?You can edit documents in both Word Online and the Word desktop application.
The available options depend on how EditFlow has been configured for your organization.
What happens if I close the EditFlow window before saving?You can safely return to your editing session if you still have the link or reopen the document from your system.
Just make sure to return within 24 hours, as the session will expire after that time.
How do I save the document back to the system after editing?You simply close the Word window and press the Save back to... button in the EditFlow application.
Your changes will be instantly sent back to the system that started the editing session.
Can multiple people edit the same document at once?Yes! EditFlow supports co-authoring, allowing multiple people to collaborate in the same document at the same time.
How long do I have to complete my edit before the session expires?An EditFlow session remains active for 24 hours.
After that, the document is automatically deleted from Omnidocs' temporary storage for security reasons.

Integrations

Can I start Omnidocs Create directly from my system (e.g., Workzone, SBSYS, Acadre)?Yes. If your system integrates with Omnidocs Create, it will automatically redirect you to Create when you start a new document process.
Do I need to log in every time my system opens Create?No. Omnidocs Create uses Single Sign-On (SSO) and keeps your session active as long as you access the application within approximately 24 hours.
After that period, you may be asked to log in again for security reasons.
How is my data transferred between my system and Omnidocs Create?Data is transferred securely through AppFlow, which handles communication between your integrating systems and Omnidocs Create.
All data exchange occurs over encrypted connections and follows the security policies defined by industry standards.
Is my draft or document saved locally on my computer?No. Documents are saved directly back to the system that initiated the process — not locally on your device.
When you create or edit a draft, the document is temporarily stored in Omnidocs’ secure cloud environment.
Once the document is saved back to your system, it is automatically removed from Omnidocs’ storage.

Troubleshooting

Why can’t I open Create or EditFlow in my browser?Both Create and EditFlow require pop-ups to be allowed in your browser.
Check your browser settings and ensure that pop-ups are enabled for the Omnidocs domain.
The “Create” button doesn’t do anything — what should I do?Contact your organization’s template builders or administrators.
There may be an issue with the recipe configuration or form setup.
My form fields are blank or not pre-filled — why?You might be using Create outside of your integrated system, or the recipe is not configured correctly to receive data from the integration.
The generated document doesn’t look right — who can fix it?Contact your template builders in your organization, as they administrate the templates and recipes, and can help adjust the layout or data mappings.
I get an error saying “404 not found” — what does that mean?This usually means you’re trying to access a unit or recipe that no longer exists, or that your user no longer has access to it.
Who should I contact if I need help?If your organization’s template builders or administrators cannot assist you, you can reach out to Omnidocs Support
