General

What is the role of a contents administrator?A contents administrator manages the setup, maintenance, and quality of recipes in Omnidocs Create.
This includes creating and updating templates, forms, bindings, data transformations, data sources, form components, as well as testing and publishing recipes to end users.
What’s the difference between a contents administrator and an end user?End users generate documents using published recipes.
Contents administrators configure and maintain those recipes, ensuring that templates, forms, and integrations work correctly and in the best way possible.
Where can I access the administration interface?You can access the administration portal by selecting Go to admin from the top-left menu, when you are logged in to Omnidocs Create.
From there, you can manage recipes, form components, data sources, and integrations for your assigned Units.
What’s the difference between a content source and a data source?A content source stores the recipes used to generate documents.
A data source defines where data comes from and how it can be used in recipes (for example, retrieving user or case information).
Can I control which users have access to my recipes?Yes. Recipe visibility is managed through Units and user permissions.
Only users with view access to the same Unit as where the recipes reside, will be able to access it.

Recipe management

How do I create a new recipe?To create a new recipe:
1. Go to your Unit and select Content sources.
2. Choose New item.
3. Select the recipe type (Word, Excel, PowerPoint or HTML).
4. Give the recipe a name.
5. Upload or select a template file and configure the form and bindings.
6. Save and publish when ready.
What’s the difference between a document recipe and a text element recipe?A document recipe is used to generate new standalone documents.
A text element recipe is used to insert smaller, reusable text or content blocks into other documents.
How do I test a recipe before publishing?Open the recipe for editing in the administration page and fill out the form on the left as an end user would.
You can preview the output directly in the editor by pressing the Generate-button in the top-right. This way you can make adjustments before saving your changes, and thereby publishing the recipe to your users.
How can I hide a recipe from users?In the recipe’s General settings, enable Hide from Create.
This will remove the recipe from the Create user site, while still allowing administrators to open it using Open in Create from the top-left menu.
How can I update or replace a template file?Open the recipe for editing, and press the Upload-button in the top-ribbon. Browse to the file to upload the new version of your document, and reapply any bindings if necessary.
Always test the recipe after updating the template to ensure existing bindings and transformations still work.

Bindings and data

What are bindings?Bindings connect data from your forms or integrations to placeholders inside the template.
Each binding type (for example, Text, Image, Repeat) controls how the data appears in the generated document.
Can I use JSON data directly in my bindings?Yes. Bindings use JSON paths to read specific data points from the input data structure.
For advanced scenarios, you can use Data transformations to modify or restructure the data before it reaches the template.
How do I verify if a binding works correctly?Use the Generate-button in the recipe editor, located in the top-right.
This lets you see exactly which data paths were applied to each binding, without having to save your changes.
What happens if a form field key changes?If a field key changes, any bindings that reference it will stop working.
You’ll need to update those bindings manually in the recipe editor to match the new key name.
Can I dynamically show or hide sections in my document?Yes. Use Visibility bindings to control visibility dynamically based on user input or data values.

Forms and data transformations

How do I add new fields to a form?Open the recipe for editing. In the Form section on the left you can select Add field.
Choose the field type, assign a key, and optionally connect it to a binding in the template.
What are data transformations used for?Data transformations let you adjust, calculate, or reformat input data before it’s inserted into your template.
This includes tasks like date formatting, numerical calculations, or conditional logic.
Can I reuse transformations across multiple recipes?Yes. Transformations can be stored as custom functions at Unit level, so you can reference the same transformation in multiple recipes.
What’s the best way to test transformations?Use Sample data within your recipe to preview how the transformation affects the output without generating a new document each time.

Troubleshooting and maintenance

Why isn’t my recipe appearing for end users?Possible reasons include:
- The recipe is hidden (check Hide from Create setting)
- The user doesn’t belong to the same Unit
Review your recipe’s general settings and visibility configuration.
Why does a document generate incorrectly or with missing data?This usually happens when the data structure from the integration doesn’t match the expected form keys or bindings.
Use the Readback setting or inspect the transformation to confirm the correct data path.
What should I do if a recipe fails to generate?Check the error message in the admin interface.
Common causes include deleted data sources, mismatched bindings, or invalid transformation scripts.
If needed, contact Omnidocs Support with the unit ID, recipe ID and error details.
Can I recover a deleted recipe or content source?Deleted content is only recoverable through your backups, once removed from Omnidocs Create.
Instead of having to restore your entire unit to a previous backup, consider duplicating recipes before making major changes to preserve configurations.
How can I keep my recipes organized?Group related recipes into logical Units and folders and use clear, descriptive names.
Regularly review unused or outdated recipes to keep your workspace clean and manageable.

Integrations and AppFlow

How do I integrate Omnidocs Create with another system?Integrations are usually handled through AppFlow, which allows external systems like ESDH or CRM solutions to pass data into Omnidocs Create.
Unit Administrators can configure integrations in the settings of each Unit.
How can I test my integration setup?Use a test recipe with sample data that mirrors your integration payload.
Can I see what data was sent to a recipe?Yes. If Record sample data is enabled in your recipe, the latest data payload used to generate a document will be stored as Sample data.
You can view it in the recipe editor to inspect what was sent from the integration.
